Job Description
Summary: Responsible for answering and directing incoming calls promptly and professionally, providing accurate information, transferring callers to the appropriate departments, and logging messages. Ensure smooth communication within the organisation while delivering excellent customer service.
Key Responsibilities: (Include the following – list is not exhaustive and other related duties may be assigned)
- Call Handling & Switchboard Operation Operate the switchboard professionally, answer calls within required timeframes, route calls accurately and provide backup support when needed.
- Customer Service Provide courteous, helpful, and professional assistance to callers and internal stakeholders.
- Communication & Message Management Take down accurate messages, ensure timely distribution, and communicate effectively with staff and departments.
- Quality & Accuracy of Work Ensure all calls, messages, and related tasks are handled with accuracy, attention to detail, and professional conduct.
- Job Knowledge & Internal Processes Demonstrate sound knowledge of the organisation across all departments, and operational procedures.
- Documentation & Compliance Maintain contact databases of all departments, and timely submission of monthly personal phone extension report.
- Reporting & Administration Receive from all department’s updates on staff daily report, leave calendars, and related daily and monthly admin tasks.
- Teamwork & Collaboration Works cooperatively with colleagues, assists with clerical tasks during staff shortages, and maintains smooth communication flow.
- Attendance & Punctuality Maintains reliable attendance and adheres to scheduled working hours.

Education/Experience
- 1–2 years’ experience in a switchboard, reception, or call-handling environment.
- Grade 12 (Matric).
- Computer literate
- Passion for service, Service orientated, and service focussed
- Knowledge for MS Office Suite
