Job Description

The primary function of the Logistics Co-Ordinator is to co-ordinate and book flights and road transfers for guests, and occasionally accommodation, ensuring best routing and pricing.

  • Coordinate and book flights and road transfers, and occasionally accommodation, for guests, ensuring best routing, pricing, and timing.
  • Arrange road transfers (airport pickups/drop-offs, inter-property transfers), liaising with drivers or transport companies
  • Book accommodation for guests when required, including at partner properties or third-party hotels
  • Confirm all bookings in writing and maintain accurate, up-to-date travel itineraries for each guest or group
  • Communicate itinerary details clearly to guests, drivers, hosts, and relevant internal departments ahead of arrival
  • Coordinate changes to guest itineraries and make amendments or cancellations when required.
  • Provide a high level of service and respond promptly to guest and operational travel requests.
  • Ensure that all guest movements are coordinated with the relevant hotel, lodge, reservations, and operations teams.
  • Coordinate special requests (dietary needs in transit, mobility assistance, extra luggage, private transfers, etc.)
  • Liaise with travel agents, airlines, transfer companies, car-hire companies, and other travel service providers.
  • Coordinate meet-and-greet services at airports where required.
  • Ensure all necessary people receive accurate guest information, flight details, pickup locations, contact details, and required arrival times.
  • Send guests and/or properties travel itineraries, flight confirmations, transfer details, and pickup instructions.
  • Maintain confidentiality of guest information and travel details.
  • Monitor flight schedules for delays, cancellations, or changes and rebook/adjust transfers accordingly
  • Handle last-minute changes to travel plans efficiently and calmly
  • Maintain contingency plans for weather disruptions, strikes, or other travel risks
  • Provide after-hours support/escalation point for urgent travel issues according to the roster.
  • Communicate with external suppliers (airlines, transfer companies, hotels) to resolve issues
  • Maintain accurate records of bookings, confirmations, passenger details, itineraries, and transfer arrangements.
  • Track and reconcile travel-related expenses against budgets
  • Process payments or coordinate with finance for flight, transfer, and accommodation costs
  • Keep supplier and vendor contact databases up to date
  • Ensure all bookings comply with company travel policy and budget guidelines
  • Verify passport/visa requirements and travel documentation where applicable
  • Ensure compliance with health, safety, and duty-of-care standards for guest and staff travel
  • Build and maintain relationships with preferred airlines, transfer companies, and accommodation providers
  • Evaluate supplier performance and recommend changes where needed

Required Qualifications

Valid Driver’s Licence and reliable vehicle.

Valid passport.

Must be willing to travel nationally and internationally when required.

3 - 5 years’ experience in a similar position.

Strategic analytical and data driven approach

Experience in working with Tour Operators, DMC’s, Travel Agents, Suppliers

Strong communication and negotiation skills

Interpersonal competencies and presentation skills.

Results oriented and able to meet deadlines.

Self-motivated, target-driven, and results-oriented

Efficient in time management.

Ability to work independently and as part of a team.

The ability to interact, and work with multiple stakeholders to achieve service and departmental goals.

Excellent computer skills.

Proficient in MS Office (Outlook, Exel, Word, PowerPoint, Internet)

Excellent Mathematics skills
