Bushlore, a leading provider of 4x4 vehicle rentals and safari services, is seeking a dynamic and detail-oriented individual to join our team as a Reservations Assistant. The ideal candidate will assist the reservations department with administrative duties, assist walk in clients with routing planning and questions they might have about their trip. There will also be online enquiries that will need to be handled from time to time. The perfect candidate will help make the day to day duties of the reservations department run as smoothly as possible. We are also looking for someone with lots of enthusiasm, a zest to learn and a passion for African travel.
Responsibilities:
Administrative Duties :
- Capturing invoices and making sure suppliers are paid on time, using the correct methods of payment.
- Confirming all bookings made through the reservations department are correct and that all invoices correspond with clients booking confirmations/routes.
- Following up with suppliers for the correct vouchers, needed for clients to enter the national parks.
- Manually prepare accommodation vouchers for clients and have them sent through to the relevant depos to be printed out for when clients arrive.
- Organise on a monthly basis all our clients trips for each month so that we know when each client is departing and picking up their vehicles.
- Send follow up emails to clients when they return, to see how their trips went.
- Will have to help with going through to all the suppliers for their rate schedules.
- Assist the Reservations Manager with administrative tasks and client bookings.
Client Relations Duties:
- Handle walk in clients that need advice with their route planning or accommodation.
- Handle overflow of enquiries which include – dealing with clients via email/phone, building itineraries, going through to the various establishments to make bookings, typing up confirmations, sending clients their final confirmations and our booking form. Finalizing payment and having accounts invoice.
Email Communication:
- Maintain professional and effective communication with clients, suppliers, and internal stakeholders.
- Demonstrate excellent email etiquette to ensure clear and prompt correspondence.

Required Qualifications
Geographical Knowledge:
- Knowledge on Southern Africa – South Africa, Botswana, Zimbabwe, Mozambique, Zambia and Namibia.
- Camping and Lodge knowledge in and around Southern Africa beneficial.
- Road Mapping beneficial.
Experience:
- Minimum 2 years - Travel and Tourism experience
- Creating packages (Accommodation, excursions, flights etc)
- Familiarity with invoicing procedures and financial transactions.
- Dealing with clients over the phone or in person a necessity
Technical Skills:
- Outlook/ Word and Excel are a must
- Ability to utilize credit cards and online payment systems confidently.
Attention to Detail:
- Meticulous attention to detail to ensure all procedures within the reservations department are met and all daily tasks are dealt with accurately.
Organizational Skills:
- Strong organizational skills to make sure all bookings are finalized in a timeous manner and are handled with as much efficiency as possible.
Adaptability:
- Ability to adapt to changing travel requirements, client preferences, and unforeseen challenges.
