Job Description
ESSENTIAL RESPONSIBILITES
Assist with domestic and international travel for ITC’s and HWT Franchises including air, car rental, hotel, other ground transportation, transfers, etc.
Advising international travel requirements (passport, visa, inoculations, etc.) when needed
Consistently demonstrating thorough understanding of guidelines, authorization requirements, procedures, etc.
Fostering a strong, productive relationship with the ITC’s / HWT Franchises while maintaining a clear understanding of the requirements, guidance and advice.
Providing excellent customer service
Utilising time management skills to efficiently organise and process workload during designated working times.
Ensure all bookings are finalized, vouchers issued, invoices issued.
Support supplier portals as may be required by the members.
Support reservation processed through Online Booking Tools.
Follow the instructions as shared by your Manager.
COMPETENCY & POSITION REQUIREMENTS (including but not limited to)
Ensure delivery of SLA’s and the agreed turnaround time
Provide the booking confirmation once the reservation has been completed and issue the necessary travel documents once approval is received
Ensure the ITC’s / HWT Franchises receive correct issued documents.
Assist with special services are booked (seating, meal requests etc.)
Participate fully as a team member to assist as needed in completing all functions relating to servicing customers
Research and provide solutions to challenges or problems ITC’s / HWT Franchises experience
Keep fully informed about all airline rules and regulations, and other industry requirements and accurately apply this information when making travel arrangements
Follow procedures, guidelines, and standards in areas of service, Passenger Name Records (PNRs) and profiles, ticketing, utilization of management information systems, productivity, attendance, use where possible of preferred suppliers and accuracy of work.
Attend staff and training meetings (virtual or in-person) for ongoing updates in the travel industry, office procedures and company updates.
Keep immediate Manager promptly and fully informed of all potential problems or unusual matters of significance and take prompt corrective action where necessary or suggest alternative courses of action which may be taken.
Effective usage and understanding of all systems and technology Amadeus / Sabre / AGM / JIRA / etc.
