To manage all aspects of Inbound programs and tours – from planning, quoting, converting and operational execution, as well as back-office process management (invoicing, debt collection).
Understanding and meeting the yearly budget and margins set out.
Key Responsibilities:
Be able to design proposals (programs or tours) as per client request.
To be able to present proposals to clients in the written form.
Responsible for managing all elements of a confirmed inbound program or booking (flights, accommodation and ground services).
Responsible for managing supplier payments and deadlines.
Responsible for invoicing clients and ensuring that payments are received from clients.
Correspond with client to confirm logistics around the itinerary (email, telephone or skype).
Attend site inspections and onsite services as required.
Prepare and distribute travel ddocumentation of all projects:
Filing of all documentation.
Arranging flights and transport for delegates.
Prepare the working document or tour leader notes.
Reconciliation of program.
Full understanding and follow through of all divisional procedures and policies.
To ensure that tour and program files are updated at all times.
To ensure that financials are updated and accurate.
To ensure that financials are checked by the line manager and Accountant.
Negotiable depending on experience
Qualification:
Grade 12
Bachelor’s degree or relevant diploma in Tourism, Hospitality, Business Administration, or a related field an advantage
At least 3 years’ experience in Inbound Tours and programs - groups and FITs
Good knowledge of Southern Africa destinations.
Fluent in English.
Word and Excel.
Galileo advantageous.
Must be able to travel with groups when needed.
