Job Description
Summary: The Team of Tour Specialists are responsible for designing, organizing, and managing travel itineraries for clients. The role of the Operations manager is to lead, manage, mentor the team as well as assist with travel arrangements, providing excellent customer service, and ensuring clients have memorable and seamless travel experiences. This includes domestic and international programs. The Incentive and Tour Manager will work closely with vendors, clients, and internal teams to deliver high-quality travel solutions.
Key Responsibilities: (Include the following – list is not exhaustive and other related duties may be assigned)
- Oversee and assist with Designing and developing customized Incentive and tour programmes with the team
- Oversee and assist with Coordinating travel arrangements (accommodations, transportation, activities).
- Oversee and assist with Communication with clients to understand travel needs and preferences.
- Provide detailed information and advice on destinations and travel logistics.
- Establish and maintain relationships with travel vendors.
- Negotiate contracts and rates with vendors.
- Manage various deadlines and payments timeously
- Manage the service levels of the team
- Maintain accurate records of client interactions, bookings, and payments.
- Prepare and distribute travel documents (itineraries, tickets, vouchers).
- Monitor client feedback and implement quality control measures
- Adhering to department’s administrative and operational matters
- Manage invoicing, billing, and financial reporting related to travel arrangements
- Travel with groups to provide on-site assistance and support

Education/Experiance
- Grade 12
- Bachelor’s degree or relevant diploma in Tourism, Hospitality, Business Administration, or a related field
- Basic knowledge of graphic design tools (e.g., Adobe Creative Suite, Canva) is a plus
- Minimum of 10 years Experience in travel planning, tour operations, or a related field
- Galileo a must
- Fluent in English and Afrikaans
- Basic knowledge in Word and Excel
