We are looking for a
Sales & Marketing Coordinator to join our team in Cape Town. This role is integral to the success of our commercial team, providing essential
administrative, organisational, and financial support to the
Commercial Manager, Marketing Manager, and
Head of Sales. If you thrive in a structured environment, enjoy working behind the scenes to keep everything running smoothly, and are comfortable engaging with global travel partners, this role is for you.
What Will Your Day Look Like?

Sales & Marketing Administration
- Manage calendars and schedule meetings for the Commercial Manager and Head of Sales.
- Liaise with travel agents and trade partners worldwide to coordinate appointments and calls.
- Maintain and update the CRM system, ensuring all client interactions and activities are accurately recorded.
- Assist in the preparation of sales presentations, reports, and marketing materials.
- Organise and track sales contracts, agreements, and trade partner documentation.

Trade & Partner Communication
- Serve as the first point of contact for inbound trade partner inquiries.
- Follow up on sales leads and reservation inquiries on behalf of the Head of Sales.
- Assist in managing relationships with key luxury travel agencies, tour operators, and travel advisors.

Marketing Coordination
- Support the marketing team in executing campaigns, newsletters, and social media updates.
- Assist in organising trade events, roadshows, and media FAM trips.
- Ensure marketing collateral is up to date and distributed to partners as needed.

Financial & Budget Support
- Ensure the cash flow report is prepared and submitted to finance on time.
- Process and track all invoices, ensuring they are submitted to finance for payment without delay.
- Maintain and update the budget sheet, ensuring accurate financial records and tracking of expenses.

✅ Proactive & Confident Communicator – You are comfortable picking up the phone, speaking to agents, making appointments, and following up on requests.
✅ Administrative Guru – You enjoy working behind the scenes, efficiently handling documents, schedules, and reports.
✅ Finance-Savvy – You can manage invoices, budgets, and cash flow submissions accurately and on time.
✅ Tech-Savvy – You are comfortable using CRM systems, spreadsheets, and online scheduling tools.
✅ Customer-Focused – You understand the importance of strong relationships and professional communication with luxury travel partners.
✅ Experience in Travel & Tourism (Preferred) – Experience in luxury hospitality, safari lodges, or a similar environment would be a bonus.
Requirements:
- 1-3 years of experience in a coordination, administrative, or support role within a hotel or lodge sales or marketing team.
- Strong written and verbal communication skills in English.
- Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint) and CRM software.
- Comfortable working with budgets, invoices, and financial reports.
- A professional, proactive, and organised approach to work.
- Based in Cape Town with the ability to work from the office full-time.
