Reports To: Chief Officer MICE & Inbound
Summary: The Group flight specialist is responsible for managing all group and individual flights relating to group bookings. This includes domestic and international flights. This role involves coordinating flights with the various programmers, managing breakaway flights, the payment deadlines, providing excellent customer service and ensuring clients have seamless travel experiences. The flight specialist will work closely with preferred flight suppliers, clients, and internal teams to deliver high-quality flight solutions.
Key Responsibilities: (Include the following – list is not exhaustive and other related duties may be assigned)
- Add value in the design of the incentive and tour programmes relating to flights with the team
- Coordinate flight with travel arrangements (accommodations, transportation, activities).
- Communicate with clients to understand travel needs and preferences.
- Provide detailed information and advice relating to flights on destinations and travel logistics.
- Establish and maintain relationships with preferred flight vendors.
- Negotiate contracts and rates with vendors.
- Manage important deadlines and payments timeously.
- Manage allowed changes and cancellations as per the contracts of group booking.
- Maintain accurate records of client interactions, bookings, and payments.
- Prepare and distribute travel documents (itineraries, tickets, vouchers).
- Adhering to department’s administrative and operational matters.
- Manage invoicing, billing, and financial reporting related to travel arrangements.

Required Qualifications
Qualification:
Education/Experiance
- Grade 12
- Bachelor’s degree or relevant diploma in Tourism, Hospitality, Business Administration, or a related field
- Basic knowledge of graphic design tools (e.g., Adobe Creative Suite, Canva) is a plus
- Experience in travel planning, tour operations, or a related field
- Galileo a must
- A minimum of 4 years of relevant experience required
- Basic knowledge in Word and Excel.
